Motel management software, built around how motels actually run
HotelOne is a cloud property management system (PMS) for Australian motels. The front-desk calendar, the channel manager, payments, housekeeping and the door locks run in one system — set up for the things that make a motel different: guests who arrive late, a team of one or two, and most bookings coming in from OTAs.

What makes a motel different
A motel is not a small hotel. Guests drive in after a long day and turn up at nine, eleven or one in the morning. The owner or manager is often the only person on site, doing the desk, the phone, the laundry and the books. And most bookings arrive from OTAs, each with its own extranet, commission and virtual card.
Software built for full-service hotels assumes a staffed front desk around the clock. HotelOne starts from the opposite end, and is designed so the property keeps running when nobody is at the desk.
Late arrivals without a night manager
The booking produces the guest’s way in. Send the door code by SMS or email before they set off — it is valid from the check-in time to the check-out time of the booking — or let them pick up a key card at HotelOne’s own self check-in kiosk. If someone is stuck at the door, unlock it remotely from your phone; every unlock is recorded.
- A new door code for every booking, generated in the PMS
- Offline codes that work even when the lock has lost its connection
- The card return box tells you when the guest has gone, and how many days early
A calendar that does the front-desk work
Every booking is a bar on one calendar. Drag it to another room or date, stretch it to extend the stay, or drag across empty nights to take a walk-in or block a room for repairs. Phone bookings get a one-line quote to read out, a deposit option and a payment link — no card number read down the phone.
OTA bookings land on the calendar by themselves. One that arrives while its room type is full waits in the Unassigned rows, and is placed in a room automatically at check-in time if one has come free.
OTAs without the double-handling
The channel manager is part of the PMS, through Channex. Change a rate, close a date or set a minimum stay once, and it reaches Booking.com, Expedia, Agoda and the rest within about 30 seconds. Bookings, changes and cancellations come back the same way.
- A price adjustment per channel, to cover each OTA’s commission
- OTA virtual cards stored in the card vault automatically, ready to charge
- A channel report with commission and net revenue per OTA
Housekeeping for a small team
Your cleaners don’t need a login or an app. Each gets a link or a QR code that opens their own task list on their phone. Rooms marked dirty, room moves and cards dropped in the return box can create cleaning tasks automatically, and you can text each cleaner their tasks for the day when you choose.
Money, invoices and the BAS
Cash, EFTPOS, bank transfers, eWAY card payments and OTA-collected money are all recorded against the booking, and deposits are held separately until you keep or release them. Tax invoices carry your ABN and a sequential number. The night audit freezes each business day at 03:10, and the tax page gives G1, 1A and G3 for your BAS.

Frequently asked questions
- How many rooms is HotelOne for?
- Any size: it is priced per room, from $20 a month for the smallest properties. A 15-room roadside motel pays $170 a month and a 40-room motel $259, with lock management included.
- Can guests check in after hours with nobody on the desk?
- Yes. Send the door code before they arrive — it only works from check-in to check-out — or let them collect a key card from the self check-in kiosk. You can also unlock the door remotely from your phone.
- Which booking sites does it connect to?
- Booking.com, Expedia (including Wotif), Agoda, Airbnb, Trip.com, Hotelbeds, Bookeasy and more — over 50 channels through Channex, all managed from the PMS.
- Do we need new locks?
- Not necessarily. Existing TTLock-compatible locks work with HotelOne. If you need new ones, LockOne hotel locks are specified to your doors from measurements or photos, and fit most existing timber and metal doors.
- Do we have to sign a contract?
- No. HotelOne is billed monthly to a card inside the PMS, and you can cancel or downgrade at any time; the change takes effect at the end of the period.
- How do we move our bookings across?
- We do it for you: your room types, rates and future bookings are imported from your current system, and your channels are connected through Channex.
