A PMS that issues the keys: smart-lock integration built in
Most PMS stop at the front desk and leave the doors to a separate lock system, so every booking gets typed in twice. HotelOne runs both: key cards, PIN codes and unlock links come from the booking, every door event lands in the same system, and lock management is included in the PMS price.

Credentials issued from the booking
Open the booking, pick the rooms and issue what the guest needs. The same tools are in the calendar’s right-click menu, in the booking window and at the card station.
Key cards
Write a card on the USB encoder at the front desk — for one room, or several rooms plus the public doors on one card. The encoder app runs on Windows and updates itself.
PIN codes
Guest codes for the stay, admin codes for staff and cyclic codes that repeat daily, on workdays or at weekends — 4 to 9 digits, pushed to the lock online or generated offline.
Unlock links
A link the guest opens on their phone, valid for the stay and optionally only within 500 m of the property. Revoke it at any time.
Every door, every event, one system
Each room shows its active credentials, their history, the unlock records and an operation log side by side. You see who issued what, and who opened the door and when — without a second lock app or a second login.
- Low-battery alerts in the notification bell
- Each lock’s last heartbeat, so you can see which locks are online
When the stay changes, the keys follow
- Extend a stay and see which credentials can be extended remotely and which cards need reissuing
- Move rooms and get reminded to issue the new room’s key
- At check-out, choose what to clean up — the cloud credentials, the card, everything — or let them expire
- Report a lost card and it is blacklisted on every lock
Public doors, staff and contractors
The main entrance, the laundry or the gym are public doors: choose which rooms’ key cards open them, keep the entrance unlocked during set hours with passage mode, or schedule an unlock. Send a temporary code to a contractor or a delivery, and write admin cards for staff by building or floor — with a one-step revoke-all when someone leaves.
Which locks work
HotelOne works with LockOne hotel locks — sold by LockOne, our hardware business — and with existing TTLock-compatible locks. Each property connects its own TTLock account. A gateway or Wi-Fi locks give you online codes and remote unlock; key cards and offline codes work without a connection.
What it costs
Lock management is included in the PMS price — a PMS property pays no lock fee. Without the PMS, the Device plan manages the locks on their own at $3 per room or public-door lock and $1 per cabinet lock, from $20 a month. Gateways and encoders are never charged.
Frequently asked questions
- Do we have to replace our locks?
- Not if they are TTLock-compatible: connect your TTLock account and bind the locks to rooms. Otherwise, LockOne hotel locks retrofit most existing timber and metal doors.
- Can we use the lock management without the PMS?
- Yes — the Device plan, from $3 per lock a month. It can be upgraded to the full PMS on any day.
- What happens when the internet is down?
- Guests’ key cards keep working, because the lock checks them itself. Offline codes work without a connection, and staff on site can still open locks over Bluetooth. Remote unlock and new online codes wait until the lock is back online.
- Can staff open a door remotely?
- Yes, from the PMS on a computer or a phone, when the lock is online. Every remote unlock is recorded with who did it.
- A guest lost their key card. What do we do?
- Report it lost: the card number is pushed to every lock and blacklisted. Without a connection, write a blacklist card on the encoder and tap it on the affected locks. Then issue the guest a new card.
